PCMA, UBM Studios and VEI Reveal Work-Related Uses of Events, Expositions and Virtual Engagements in New Survey

Attendees' Business Motivations and Social Behavior Similar for In-Person and Online Events

PLEASANTON, Calif. and CHICAGO, July 18, 2011 /PRNewswire/ -- The Professional Convention Management Association (PCMA), UBM Studios (a UBM company), and the Virtual Edge Institute (VEI) today released a joint report, "Business Motivations and Social Behaviors for In-Person and Online Events," revealing the business motivations and social behaviors of attendees and exhibitors when participating in  physical and online events. Instead of a "virtual versus face-to-face approach," the survey sought to understand how digital technologies can be best used within the framework of a work environment. The report answered questions regarding in-person and online events – why individuals attend these events, what business goals are being achieved and how are they engaging within these environments. "Too often the argument centers on how face-to-face or virtual best delivers on an event experience for delegates. This survey demonstrates that there are significant similarities, as well as fundamental differences in the experience and the results regardless of format," explained Michael Doyle, executive director of VEI. "This report will help the events and meeting industry to look at the combined effect of wrapping a digital event strategy around physical events and meetings; thereby increasing the overall value beyond the sum of the parts."

Business Motivations and Social Behavior Similar for In-Person and Online Events

The report surveyed 479 marketing and event professionals to establish a baseline on the work-related uses of events, expositions and virtual engagements within corporations, associations and other organizations. One of the significant findings demonstrated that 'why people attended an event' and 'their social behaviors when at the event' were similar whether in-person or online.

By working together, we can move the conversation forward to provide a richer experience that engages the visual and auditory senses, drives desired actions within the event, and ultimately delivers definitive business results."

  • People are Social Creatures – Both In-person and Online: Over 80% of respondents are comfortable/extremely comfortable connecting and networking with strangers regardless of setting – both physical and virtual. Furthermore, 41% of online delegates and 51% of physical delegates respectively have tweeted and texted to share event information to their entire network. Not surprisingly, more online attendees use instant messaging (IM) to share information than physical attendees.  
  • All Participants Are Easily Distracted: Compared to their online counterparts, in-person participants are just about as likely to be checking email (81% in-person versus 83% online) or leave a meeting/session for some reason (65% in-person versus 68% online). Online attendees are significantly more likely to take a phone call during a presentation than physical attendees (66% online versus 48% in-person). Though both physical and virtual attendees admit to surfing the web or shopping during a presentation, it's more common amongst online attendees (42% online versus 28% in-person).
  • Business Travel Sentiment: Those who 'enjoy' traveling for business (32%) attend more work-related conferences than those who 'don't mind' travel (51%); and those who 'don't enjoy' traveling for business (17%) are more likely to be heavy users of virtual meeting options.  

Align Marketing Objectives with Attendee Motivations & Behaviors

Whether an in-person or online event, individuals attend conferences and tradeshows for the same primary reason – content. By understanding the audience needs and experience, marketers can best leverage virtual, not as an online product brochure or duplicate website, but rather as an extension of the tradeshow or conference experience though not a substitute.

  • Market Content Before, During and After the Event: Respondents are seeking to access content online or via mobile before, during and after the event. The digital channel allows meeting and event practitioners to engage with audiences throughout the entire event cycle, connecting audiences from the physical event to the online channel and back again.
  • People Seek the Same Information: Regardless of format, people have the same drivers for attending an exhibit hall, seeing 'what is new' is the number one motivation by far. Gathering relevant product and company information as well as subject matter expertise all follow closely in importance. Demos and application education are often sought as well. In addition, respondents noted the motivation to network and connect is very high.
  • Exhibitor Goals Seem to Align with Attendees' Needs: The main motivations cited for exhibiting at a conference include:  brand awareness (68%), new business development (65%), educate market on products/solutions (62%), new lead generation (56.9%) and thought leadership (51%).

Methodology

The online survey was conducted amongst 479 North American respondents during May of this year, with two iPads as an incentive. Before commencing the survey, respondents reviewed the definition of a virtual engagement in written form and had the option of viewing a short video demonstrating several examples of virtual environments.
